How do I import my existing products?

Settings → Products → Import takes a CSV or spreadsheet. Map your columns to name, SKU, barcode, cost and price, and Stocked will tell you which rows it can't read before anything is written. Opening stock can come in on the same file, or you can leave it out and set it with a stock count instead.

What's the difference between a location and a workspace?

A workspace is a business. A location is a place that business trades from: a shop, a kitchen, a depot. Stock is held per location, and reporting rolls every location up into one view. You switch workspace when you run more than one business; you switch location when you're looking at one part of the same business.

Can I try it without putting real data in?

Yes. Every new workspace starts with a sample catalogue you can trade against, and clearing it is a single action in Settings. Nothing in the sample data affects billing.

Inventory

Why does available stock differ from on-hand?

On-hand is what's physically there. Available subtracts anything committed: units on an unfulfilled order, held on a tab, or reserved by a booking. If the two disagree by more than you expect, the committed column on the product page shows exactly what's holding it.

How do I correct a stock level?

Use a stock adjustment for a single item and a stock count for a shelf or a whole location. Both ask for a reason, and both land in the audit log with your name against them. Editing the number directly isn't possible by design, because an unexplained change is the one thing you can't investigate later.

How does batch and expiry tracking work?

Turn it on per product. Receiving then asks for a lot number and an expiry date, the till sells the oldest lot first, and anything approaching its date appears in the expiring view with the days remaining. Expired stock is held out of available until you write it off.

Stock I transferred hasn't arrived. Where is it?

In transit. A transfer leaves the sending location the moment it's dispatched but doesn't join the receiving location until someone confirms receipt, so it isn't double-counted in between. Open the transfer to see who dispatched it and when.

Point of sale

What happens if the internet drops mid-service?

The till keeps trading. Sales are written locally and queue up, and the moment you're back online they sync in the order they were taken so stock ends up where it should. The till shows an offline marker while it's queuing, and a count of what's waiting.

How do I refund part of a sale?

Find the sale, choose Refund, and pick the lines and quantities coming back. Stock returns to the location the sale was made at unless you mark it damaged. Refunding needs the sales.refund permission, which isn't on for staff by default.

My register was short at close. What now?

Close it anyway with the counted figure. A variance is recorded rather than hidden, and the register close appears in the audit log with the expected total, the counted total and the difference. The cash variance report shows whether it's a one-off or a pattern on a particular shift.

Purchasing

Only half my order turned up. How do I receive it?

Receive the quantities that arrived and leave the rest outstanding. The order stays open and you can receive against it again when the balance lands. Short and late deliveries feed the supplier scorecard automatically.

How is landed cost spread across an order?

Add freight, duty, insurance or handling to the order, then choose how it's allocated: by line value, by weight, or evenly per unit. Each line's unit cost goes up by its share, and margin from that point on uses the landed figure rather than the invoice price.

Where do reorder suggestions come from?

Recent sales velocity, the supplier's lead time and anything already on order. Stocked works out what you'd run out of before a new order could arrive and suggests a quantity that covers it. Accepting suggestions groups them into one draft order per supplier.

Team & access

Which role should I give someone?

Staff can sell and move stock. Manager runs a location, including purchasing and reporting. Admin runs the business day to day. Owner is the only role that reaches billing. Start with the narrowest role that fits and grant individual permissions on top rather than promoting someone.

Can one person have a permission their role doesn't include?

Yes. Open the member and edit their permissions. Anything you switch away from the role default is kept as an override and shown as customised on the team list. The owner's access can't be narrowed.

How far back does the audit log go?

Two years on every paid plan. It covers sales, stock movements, purchase orders, bookings, team changes and settings edits, and it's searchable by person, category and date range. Entries can't be edited or deleted by anyone, including the owner.

Billing & plans

How does per-location pricing work?

You pay per location per month, and your whole team is included at no extra cost regardless of how many people you invite. Adding a location mid-cycle is prorated; removing one credits the remainder against your next invoice.

What happens to my data if I cancel?

The workspace stays readable for 30 days so you can export whatever you need, and full exports of products, stock, sales and purchasing are available for the whole of that window. After 30 days it's deleted, and deletion is permanent.

Do you charge tax on the subscription?

Where we're required to. The rate is worked out from the billing country on your account, and your VAT or tax identifier can be added in Settings → Billing so it appears on the invoice.
